Our North Dallas client is looking for a contract part-time administrative assistant

Our North Dallas client is looking for a contract part-time administrative assistant. To apply click here!

This person will serve as a backup receptionist as needed and provide a variety of Office Administration Team responsibilities including, but not limited, those listed below. It will be for 20-25 hours a week.

BACKUP RECEPTIONIST RESPONSIBILITIES:

  • Serve as primary backup for receptionists’ lunch and other breaks, answer telephones during Office Administration Team meetings and lunches.
  • Greet clients and visitors in a professional and courteous manner. Offer beverages to clients and all visitors.
  • Answer multi-line phone and transfer call to the appropriate employee or locate the employee utilizing the telephone paging system.
  • Communicate effectively with clients, visitors, managers, vendors, and all employees.
  • Immediately notify (or deliver to) the appropriate employee(s) any couriered items, packages and when checks are received by any delivery method.
  • Prepare shipping vouchers for all courier and overnight deliveries.
  • Coordinate with other administrative support personnel for backup relief for receptionist duties and other related administrative responsibilities.
  • Keep reception area neat and clean and monitor all conference rooms to ensure each room is clean and ready for all meeting(s).

OTHER OFFICE ADMINISTRATION TEAM RESPONSIBILITIES:

  • Maintain a minimum supply of five prospective client packets in Conference Rooms 1, 2, 4, 5, and 6.
  • Update and distribute the employee telephone extension list on a monthly and as-needed basis.
  • Clean white boards in all seven conference rooms each week.
  • Assist with client lunches including ordering food, setting up meeting room with food and utensils, cleaning up the meeting room.
  • Defrost the reception area ice maker once each month, clean refrigerator and microwave oven in kitchen each week.
  • Conduct weekly inventory of copier and printer toner cartridges, copy paper, office supplies for both work areas and the ICAN Office, and kitchen supplies.
  • Coordinate with the Receptionist orders for needed supplies.
  • Re-stock supplies in both work areas, ICAN Office and kitchen.
  • Check all conference rooms each day before leaving - take any dishes and trash to the kitchen and load dishes in the dishwasher.
  • Prepare the dishwasher by loading dishes and soap each day before leaving.
  • The receptionist or designee will start the dishwasher before leaving.
  • Escort building management personnel, vendors, delivery and repair personnel throughout office.
  • Assist with other Office Administration responsibilities and projects as requested or assigned.
SKILLS & QUALIFICATIONS:


1. Communicate and interact with clients, managers, vendors and all employees in a courteous, professional, efficient, and effective manner.

2. Possess excellent telephone skills including ability to manage client's telephone systems, a pleasant, clear voice with a good command of the English language.

3. Computer skills – possess ability to effectively utilize client's systems including LINKS, current document management system (Worldox), Microsoft Outlook, Microsoft Word, and Excel.

4. Possess organizational and time management skills.

5. Be a team player and be receptive to complete cross-training for Office Administration Team responsibilities as required or assigned.

6. Minimum of one to three years’ experience as a receptionist or backup receptionist in a professional office environment.


STANDARDS:

  • Adhere to agreed upon work hours per week and be flexible to assist the Team by working additional hours, if necessary
  • Develop a positive, pleasant, and professional rapport with everyone that projects a good image of client and the Team.
  • Be proactive in maintaining at all times a sufficient and economical inventory level of supplies to avoid unnecessary disruptions to personnel and workflow.
  • Consider the needs of the Office Administration Team first and foremost and other Office
  • Administration Team members when scheduling personal time away from the office.
  • Maintain accurate record of all hours worked. Any hours over the 20-25 maximum per week must be pre-approved by the Team Leader before working those hours.

Position Description:
* Provides administrative and functional support to senior site management and human resources department.
* Operates the facility’s multi-line telephone system to answer incoming calls, determines purpose of callers, and directs callers to appropriate people or department in a manner that reflects favorably on the organization and its employees.
* Receives on-site visitors in the lobby area in a friendly, courteous, and professional manner, determines nature of business, and announces visitors to appropriate personnel.

* Assists in the efficient execution of HR processes, including recruiting, hiring, payroll, performance management, compensation, benefits administration, and employee opinion survey.
* Prepares various responses and correspondence to outside parties and agencies for review by senior management.
* Maintains current MSDS documentation in support of the company’s safety program.
* Performs others duties as assigned.

Requirements
* At least an associate (two-year) degree or equivalent experience.
* Working knowledge of basic HR processes and functions – at least three years of experience with HR-related responsibilities.
* High level of organizational skills and attention to detail, with an ability to focus on assigned tasks without complaining or being distracted by non-work related issues.
* Positive, self-confident, and professional disposition and pleasant, friendly, out-going personality.
* Self-starter who takes initiative to do what needs to be done without being told, quickly grasps delegated tasks, and requires minimal supervision or follow-up.
* Ability to manage multiple priorities of non-supported members of management while accomplishing tasks assigned by own manager; must be able to push back tactfully and professionally.
* At least intermediate expertise with Windows and Office software programs, including Word, Excel, PowerPoint. Experience with ADP PayeXpert, EZLaborManager, and Vantage preferred but not required.
* Strong aptitude to learn new computer software applications.
* Excellent oral and written communication skills.
* Ability to maintain confidential information.
* Ability to handle multiple priorities in a fast-paced manufacturing environment.
* Ability to meet physical demands of the job, including but not limited to: frequent sitting, standing, and walking; frequent computer use; some lifting or moving up to 25 lbs.

Duties:

- Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.

- Directs visitors by maintaining employee and department directories; giving instructions.

-Maintains safe and clean reception area by complying with procedures, rules, and regulations.

-Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

-Contributes to team effort by accomplishing related results as needed.

Skills/Qualifications:

Telephone Skills, Verbal Communication, Microsoft Word and Excel Skills, Listening, Professionalism, Customer Focus, Organization, Informing Others, Handles Pressure, Phone Skills, Real Estate industry experience is a plus.

The hours for this position are 10am- 3pm Monday- Friday.

Description: This person will be a backup for the receptionist and meeting room attendant. Assisting with meeting rooms setup and cleanup. This will also answer phones, greet employees and customers, and possible training room assistance. This candidate should be familiar with Microsoft Office, especially Outlook and Internet Explorer.
