JOB SUMMARY:
Maintain organized and efficiently run operations for all personnel in the branch/regional sales office.
Primary to the position is the goal of contributing toward increasing sales, maintaining excellent communication with brokers and distributors and providing excellent customer service by assisting the branch manager and sales managers with administrative and business tasks such as those described below among others.
The administrator performs complex secretarial work of an administrative nature.
This is a responsible position that may involve working alone.
Provides assistance to the branch and works with minimal instruction or supervision.
ESSENTIAL FUNCTIONS:
Facilitate the efficient and successful business operation of the branch sales office.
Answer telephone and provide information/assistance to callers as needed in a polite and professional manner or route call(s) to the appropriate official.
Take accurate messages for branch staff that are out of town, or take appropriate action in urgent cases.
Maintain communication with branch staff that is out of town regarding important matters.
Receive new orders by phone; check accuracy of all data and accurately record those orders.
Accurately and efficiently enter orders into EDI System, process and follow-up as necessary.
Accurately and efficiently enter data for branch sales promotions to EDI System
Accurately and efficiently file copies of completed orders and other branch correspondence and reports.
Accurately and efficiently input and transmit bills to be paid by headquarters.
In a timely manner sort, open, read incoming mail and route mail to staff as needed, except those marked CONFIDENTIAL. Retrieve and attach appropriate file/correspondence to facilitate response by official as needed.
Accurately and efficiently process all outgoing mail and packages.
Do all branch correspondence and reports including assembly and transmittal of monthly branch reports in a timely and efficient manner.
Accurately and efficiently input special sales meeting figures to PC.
Process all payables in a timely manner and balance account records. Issue petty cash checks when requested.
Reconcile and balance checking account.
Resolve or refer to proper person for resolution any calls relating to product or sales complaints.
May be required to do research for a project.
May be required to be responsible for following up on decisions implemented, contracts prepared and appropriate parties are notified.
Order branch office supplies as needed. Research equipment/furniture needs of the branch.
Maintain all office equipment and machinery in running order.
Maintain adequate supply of advertising and marketing materials at the branch office.
Make travel arrangements for branch officials and staff as requested.
Provide information/printed materials/sales reports to brokers as directed.
